Build the operating budget

Plan four revenue lines, direct costs, and overhead across 12 months. Include taxes, capital expenditures, debt activity, equity contributions, and distributions.

Connect all three statements

Follow the budget and actual results through linked income statements, balance sheets, and cash flow statements, starting from the business's opening balances.

Control cash timing

Set customer collection and supplier payment percentages. Model advance customer payments, receivables, inventory purchases, and payables to see when cash is available.

Explain budget variances

Compare monthly and year-to-date results with the matching budget periods. Review dollar and percentage differences with favorable and unfavorable variance reporting.

Review annual results

Profit and cash do not always arrive together

A sale can create revenue before the customer pays. Inventory can use cash before it becomes an expense. The model connects these timing differences to the budget.

Customer collections

Allocate collections from 12 months before a sale through 12 months afterward. Track advance collections separately from receivables, with a schedule for collecting opening receivable balances.

Purchases and supplier payments

Enter materials or product purchases separately from COGS. Allocate payments from the purchase month through 12 months afterward and track the effect on inventory and payables.

Actual cash flow follows actual balances

Actual customer receipts and supplier payments are calculated from actual activity and changes in receivables, customer advances, inventory, and payables. An optional ending bank-cash input provides a reconciliation check.

A straightforward monthly workflow

  1. Set up the business. Choose the starting month, enter opening balances, and set the minimum cash target.
  2. Build the plan. Enter the monthly budget and cash timing assumptions in the yellow input cells with blue text.
  3. Add actual results. Enter completed-month activity and required ending balances, then update the completed-month control.
  4. Review and act. Check reconciliations, investigate variances, and assess profitability, collections, spending, and funding needs.

How the full-year profit outlook works

It combines actual profit to date with budget profit for the remaining months. Future months stay at budget; the outlook does not automatically project recent trends or revise the future cash forecast.

Frequently asked questions

What software do I need?

The download is a macro-enabled Excel workbook. Use desktop Microsoft Excel and enable macros to use the Reset All Inputs button.

Does it import data from my accounting software?

Budget assumptions, actual results, and ending balances are entered manually. There is no automatic accounting-software connection or bank feed.

Can I start the budget in a month other than January?

Yes. Select the first month on Setup to build the following 12-month period.

Can I clear the example inputs?

Yes. The Reset All Inputs button on Setup clears editable inputs while preserving formulas and formatting. Save a copy before using the reset.
