Separate checks, one report

Break the filtering process into three clear steps.

The template uses helper columns to keep individual criteria visible and separate from the final report formula.

  1. Test each data field

Apply pass/fail logic to the columns you want to evaluate. Each check determines whether a record meets the condition for that field.

  2. Combine the checks into a row result

Evaluate the individual pass/fail results together. The final helper column identifies qualifying rows with a value of 1.

  3. Return matching records to the report

The Google Sheets FILTER formula uses that final flag to bring qualifying rows into a summary report.

Example: event ticket buyers

Find records that meet several conditions at once.

Imagine a list of 1,000 ticket buyers. You want a report containing only buyers who meet a combination of spending, location, and demographic criteria. The example below shows the kinds of checks you can apply to separate fields.

Data field Example condition
Ticket spending At least a chosen spending amount.
Distance from the event More than 100 miles away.
Merchandise spending At least a chosen merchandise spending amount.
Gender Matches the selected gender value.
Age Over 35.

Each condition is tested separately before the final row result determines whether the buyer appears in the summary report.

Visible criteria & flexible logic

Keep the reporting rules easy to review.

Individual checks you can inspect

Review the pass/fail result for each field to understand how a record meets or misses the criteria.

Logic organized by field

Adapt the test for each data point to the question you want to answer, while keeping the summary report tied to the final row flag.

Questions before you start

A few useful details.

What does this template do?

It uses pass/fail checks across multiple data fields to identify qualifying rows, then returns those rows to a summary report in Google Sheets.

How does the final report choose which rows to show?

The template combines the individual checks into a final row flag. The report's FILTER formula returns rows where that flag equals 1.

Why use separate helper columns?

They make each condition visible and allow its logic to be reviewed separately. The summary report then tests the combined row result.

Can I adapt the criteria to my data?

Yes. The approach is designed so you can apply specific tests to the data points you want to evaluate, such as spending thresholds, distance, or a matching category value.

Is this a Google Sheets template?

Yes. Open the template link after purchase and choose File > Make a Copy to create your own editable version.

One row for each month's spend

Follow the revenue from each acquisition cohort over time.

Customers acquired through one month's marketing may generate revenue across many later months. Each row keeps that month's spend and its associated revenue together.

  1. Enter the sales and marketing spend

Record the amount spent in a given month. That row becomes a monthly cohort for tracking the return on that investment.

  2. Enter the revenue attributable to that cohort

Add the monthly revenue directly associated with customers acquired through that spend. The template displays data for up to 10 years at once.

  3. Review returns as revenue accumulates

Follow the cohort's ROI, IRR, and payback months as you enter revenue over time. Continuing revenue changes the return earned on the original spend.

Return, timing & recovery of spend

Review the main marketing return measures together.

Return on investment

Review each monthly cohort's ROI using the marketing spend and attributed revenue entered for that cohort.

Internal rate of return

Review IRR to account for the timing of the revenue earned after the initial marketing investment.

Revenue payback months

See how many months it takes for cumulative attributed revenue to cover the initial marketing spend.

Average results

Review averages for ROI, IRR, and months to pay back marketing spend across the analysis.

Conditional formatting

Spot positive returns and compare payback timing.

Positive and negative ROI / IRR

Conditional formatting highlights whether ROI and IRR are above or below zero.

Payback color tiers

Red, yellow, and green formatting distinguishes payback results based on the number of months required to recover the marketing spend through revenue.

Recurring revenue & repeat customers

Track returns when customer revenue arrives over time.

The template is useful when the revenue associated with an acquisition effort extends beyond the month in which you paid for it.

Recurring revenue businesses

Follow ongoing revenue from customers acquired through a particular month's marketing investment.

Professional services firms

Track irregular repeat revenue from acquired clients, such as legal or accounting clients whose work may occur over a longer period.

Understand the revenue behind the return

Keep each month's acquisition spend connected to its customers' revenue.

You enter the spend and the monthly revenue attributable to it. The template then shows the resulting return and timing measures. Payback identifies when that entered revenue has covered the original marketing investment.
